Title: Brand Operations Coordinator + Office Manager

Supervises: None

Reports to: COO (close collaboration with Ennismore Senior Director of Brand Integration & Projects)

General Purpose:

Assist with administrative and brand operational needs. Will work closely with Accounting, Operations and Brand Services. Manage general office operations.

Specific Responsibilities

Brand Operations Coordinator

  • Assist team in specification, sourcing, procurement and delivery of OS&E and printed collateral for new properties.
  • Assist operating properties in the sourcing of new or replacement products as necessary.
  • Maintain organized archive of specifications, sample library, and vendor filesfor 21c Brand Standards.
  • Process and fulfill all gift card, Cracking Art and mattress orders in a timely mannerand administer reporting.
  • Manage monthly expense report for COO.
  • Assist with Brand Marketing Allocation expense coding/management.
  • Analyze monthly inventory and sales reports from each property; understand best/worst sellers and the nuances that set them apart; publish monthly reporting.
  • Ensure that all online inventory is neatly organized by category.
  • Assist in performing monthly physical counts of online inventory.
  • Review property inventory reports for accuracy.
  • Communicate discrepancies timely to the fulfillment team and the property to ensure accurate financial statement reporting.
  • Create and update SOP's related to inventories and purchasing.
  • Monitor properties adherence to 21c purchasing vendor requirements and assist in solving issues.
  • Spot check retail prices in POS and on inventory sheets.
  • Consistently communicate with property employees overseeing the gift shops.
  • Ensure the accounting principle of matching of expenses and revenues are in place with the gift shops.

Office Manager

  • Track, manage, code and submit monthly Amex charges to Accounting
  • Provide "guest services"- greet visitors, assist with conference room scheduling and meeting set-up, answer and direct phone calls, route information requests.
  • Maintain conference room calendar; provide conference room "event orders" to scheduled users as necessary; assist with preparation for meetings, including technology needs, A/V and F&B set-up.
  • Shipping/receiving: sign for deliveries, sort and deliver mail, assist other team members with packaging, shipping & messenger needs.
  • Manage inventory, purchasing of, and accounting for regular office supplies (including coffee, coke, paper products, etc.); explore and innovate ways to streamline and save, while maximizing quality and access to necessary supplies, etc.
  • Provide technical support to the extent possible (printing, scanning, copying, minor IT issues, conference room A/V, etc.).
  • Manage break room upkeep (stock certain groceries, supplies); coordinate necessary cleaning services.
  • Provide general support for members of 710.
  • Act as liaison to 21c properties; help direct communication to/from properties effectively.
  • Recognizes teammate anniversaries on a monthly basis and assists COO with recognition emails.


  • Experience with Microsoft Office and the ability to learn new computer systems quickly
  • Fundamental understanding of retail math and general accounting principles or similar
  • Excellent organizational skills and strong attention to detail
  • Great interpersonal skills
  • Able to recognize and anticipate ways to be helpful
  • Willing to roll up your sleeves!
  • Excellent time management and multi-tasking ability

Education/Formal Training:

  • College or equivalent work experience preferred


  • Experience in applicable fields (administration and/or customer service) preferred
  • Hospitality/Service industry experience a bonus!
